COMMUNICATION & PARENT PORTAL

Please make sure to record your login and password information for access to your Parent Portal. This is a valuable resource for checking your child's schedule, account balances, class attendance and much more. You will also need this information to register for classes in subsequent years.

We require accurate contact information, including email address, at all times. If anything changes, please update your contact information in your Parent Portal Account.

Returning students, be sure to update your grade, as this does not update automatically. Also, check to be sure all other contact and payment information are current and accurately entered into the system.

Email is our primary form of communication. If you are not receiving studio emails, please let us know immediately. You can also stay updated on studio news and happenings via our social media on Instagram and Facebook.

TDC reserves the right to make necessary changes and updates to our policies. The Parent Portal will automatically update you with any changes to our policies.


REGISTRATION AND TUITION

A registration fee of $40.00 for 1 dancer or $60.00 per family will be charged upon registration for the 2023-2024 season.

If registering for a 6-week session or summer classes only, a registration fee of $25.00 will be charged. If registering for a second, 6-week session during the 23-24 season, you will be charged the remaining balance of $15.00 for a single student registration fee, or the balance of the family fee if a second student is registered. Registration fees are non-refundable, non-transferrable, and are processed once enrollment has been reviewed and confirmed.

Private group lessons are available upon request based on studio and instructor availability. A group leader will be responsible for coordinating the attendees of their group prior to registering.

DISCOUNT PROGRAM

We encourage technique classes which are the foundation of a dancer’s skill set. There are no shortcuts to development of muscle memory and proper body placement for strong and safe dancing, including injury prevention. For this reason, TDC offers a sliding scale of discounts on technique classes per student. Technique classes part of this discount program are: Ballet, Poms & Conditioning, Acro, Accelerate, and JLT.

Lowest priced classes will be discounted first.

MULTIPLE STUDENT/FAMILY DISCOUNT

Starting with the 3rd child in a family, this discount will be applied to the lowest tuition total per child: 25% off the 3rd child in a family & 25% off each additional child (4th child+).

WORK STUDY/UNLIMITED SCHOLARSHIP PROGRAM

TDC offers a monthly tuition cap of $550.00 for those who are either class assistants, jr. class assistants, or studio helpers! Once the dancer’s account reaches $550.00 in tuition for the month, additional tuition costs are waived regardless of the number of classes a dancer takes. Note that non-tuition costs like costume deposits, private lessons, workshops, intensives, etc., are not included in the tuition cap. This program saves money for those taking 8, 45-minute classes weekly or 7, 1-hour classes weekly. The work study program cannot be combined with the technique discount program listed above.

Work Study- Class Assistant & Jr. Class Assistant

Students ages 11+ who are part of the work study program will be assigned to assist a weekly class. Students ages 10 and below who are part of the work study program will be assigned as a junior assistant to assist a weekly class, if appropriate. Note that the jr. class assistant role may not be appropriate for all students under 10 years old.

Students are only eligible for scholarship if they are assisting the class for which they’ve been assigned consistently each week for the duration of the season. If the student is excessively absent or tardy to the class for which they are assisting, the student will no longer be eligible for the work study program scholarship.

Studio Helper

Jrs. (ages 10 and below) may choose to be a weekly studio helper instead of a jr. assistant in order to receive the scholarship. TDC reserves the right to determine whether a student is a better fit to be a studio helper or jr. class assistant. Studio helpers will be assigned a weekly shift to help keep the studio orderly. For example, this may include 30 minutes of picking up trash in the lobby and dressing rooms, organizing the lost and found, and cleaning mirrors before and/or after classes.

Students are only eligible for scholarship if they are consistently attending and completing their scheduled shift each week for the duration of the season. If the student is excessively absent or tardy, the student will no longer be eligible for the work study program scholarship.

A few scheduled absences or missed shifts during the season are acceptable and must be communicated in advance. The student is responsible for making up any missed hours by assisting another class or picking-up another studio helper shift. It is the student’s responsibility to coordinate and plan makeup hours.


PAYMENT VIA PARENT PORTAL

The portal allows you to enter up to two forms of payment (either your credit card number OR your banking information). If entering more than one form of payment, be sure to note which form of payment you designate for monthly payments. Your selected method of payment will be charged a registration fee once your classes have been reviewed.

By registering for a class, you are securing a spot from September through June. Likewise, based on registration in summer, TDC is making a commitment to book the instructor for the season. In consideration for young students or those trying a style for the first time, we allow a withdrawal period during the first semester. Please see “Drop Policy” section for more details.

Tuition is collected monthly, by automatic credit card transaction, or by automatic pre-authorized (ACH) payments, upon registration from September 2023- June 2024 (9.5 months of tuition which includes 1/2 tuition charges for the month of September). Once registration has been approved and registration fees charged, September tuition fees will be charged and are non-refundable. All other months’ tuition will be due on the first of that month (ex: October tuition is due October 1 or next business day). Tuition credits or refunds are offered in full if a class does not meet its minimum enrollment. Tuition paid on the 1st of each month is applied to that month’s tuition charges.

September will be billed at half-price, afterwhich, the full monthly tuition will be charged on the 1st of each month, or next business day, from October-June regardless of whether there are 3, 4 or 5 weeks during that payment period. The monthly payment option is provided as a convenience, but these payments are considered contributions to a 9.5 month dance education program for which you commit to when registering for each class.

Schedule for monthly payments (options A and B listed below) will be on the 1st of the month or next business day except for May and June tuition. Combined tuition for May and June will be processed on May 1, 2024.

OPTION A - MONTHLY PAYMENT BY CREDIT CARD - Processed on the 1st of each month or next business day.

I authorize TDC to use the credit card number and expiration date I've provided online via the Parent Portal. I understand that this card will be used by TDC to make payment on all of my dance fees on their respective due dates. This includes, but is not limited to, registration fees, monthly tuition, NSF fees and payments.
I further understand that it is my responsibility to maintain a valid credit card number and expiration date in the Parent Portal, and that any changes or updates must be made by me through the Portal.

In the event of insufficient funds or a payment that is declined for any reason, client will have a 7-day grace period to rectify the payment with no additional late fee charged (this does not include the NSF fee of 20% of the total returned payment, up to $50.00. If on the 8th day, the balance due and service charge have not been paid, a $35 late fee per week will be charged until payment is made. After one month of the unpaid balance, the student will not be allowed to attend any classes.

OPTION B - MONTHLY PAYMENT BY PRE-AUTHORIZED ACH PAYMENT- Processed on the 1st of each month or next business day.

I authorize TDC to use the bank account information I've provided online via the Parent Portal. I understand that this account will be used by TDC to make payment on all of my dance fees on their respective due dates. This includes, but is not limited to, registration fees, monthly tuition, NSF fees and payments. I understand that payment of all fees is my responsibility. I further understand that it is my responsibility to maintain current banking information in the Parent Portal, and that any changes or updates must be made by me through the Portal. I understand that pre-authorized payments can be made from a savings or checking account only. I acknowledge that payment may be deducted a day or more after the tuition due date depending upon each bank's processing time.

In the event of insufficient funds or a payment that is declined for any reason, client will have a 7-day grace period to rectify the payment with no additional late fee charged (this does not include the NSF fee of 20% of the total returned payment, up to $50.00. CLASS ENROLLMENT

All class placements are at the discretion of TDC's Director & Faculty and with the student’s best interest in mind.

TDC reserves the right to cancel, change or reschedule a class based on attendance and/or registration. Instructors are subject to change without notice.

Dance classes that have met their maximum enrollment will display a WAIT LIST link. Please click the link to be added to our wait list.

During the first 6 weeks of classes, faculty may suggest a change of class for some dancers depending on their ability, experience, motivation and focus. If we deem a change is necessary, we will contact you personally to discuss class options.

Please review brief descriptions of each class for any listed pre-requisites when enrolling. For example, certain classes require enrollment in either a JLT and/or ballet class.


REGISTRATION LIMIT

In the event a class is wait-listed due to high enrollment, dancers in Club TDC who need to meet specific class requirements will receive priority for class placement.


DROP POLICY

Students are allowed to drop classes in the first semester from October 1, 2023 through December 17, 2023. Any student dropping out of classes during this time will be responsible for tuition through the end of that pay period. For example, if written notice is given any time between October 1 through 31, tuition is still due for the full month of October and no partial or full refunds will be issued. Written notice via email is required at least 7 business days prior to the next pay period as payments are charged on the 1st of each month. For example, if you give written notice that your child is dropping a class or classes on September 22, you will not be responsible for the next pay period (October) and any pay period thereafter. Should you or your child stop attending classes, but you do not give written notice prior to the next pay period, you will be responsible for future tuition payments until written notice is provided.

As of receipt of your enrollment, September prorated tuition will be charged and there are NO REFUNDS for the first month of lessons in September 2023, regardless of the number of classes enrolled in and attended.

December 18, 2023 through June, 2024 - NO TUITION REFUNDS will be given for any dropped classes. Beginning December 18, 2023, the year's remaining tuition balance will be owed regardless of class attendance in the second semester. For example, if you choose to drop your or your child’s classes on December 18 or later, you are responsible for the remaining tuition balance for classes running from January, 2024 through June, 2024.

If no written notice is given by December 17, 2023, TDC will assume the dancer is participating in all performance classes for which they are enrolled. After December 17, 2023, TDC will order all costumes for performance classes that the dancer is enrolled in and you will be responsible for the cost of the costume(s) and the Season Finale Participation Package, regardless of participation. Please see “Season Finale Dance Performance” and “Costume Payment Policy” sections for more information.


SEASON FINALE DANCE PERFORMANCE

Dates listed below are mandatory for students participating in the Season Finale. All dancers perform in both Season Finale shows.

Performances: Thursday, June 13, and Friday, June 14, 2024, at Avon HS Performing Arts Center

*Tentative start time of around 6:00 PM or 6:30 PM each night. Call time for dancers is usually 4:30 or 5:00 PM pending show start time.

Dress Rehearsal: Sunday, June 2, 2024, at Avon HS Performing Arts Center- MANDATORY ATTENDANCE.

*While exact times are not confirmed, please block the day in your calendars from 10:00 AM- 5:00 PM. A dress rehearsal schedule will be emailed closer to the dress rehearsal date.

Last week of classes / final rehearsals at TDC: June 3-10, 2024 (during your regular class time)- MANDATORY ATTENDANCE.

Students missing rehearsals listed above will not be permitted to perform.

Missing more than 4 classes during the 2nd semester will result in automatic dismissal from participation in the Season Finale, subject to reinstatement by TDC Director in her sole and absolute discretion.

Families will receive a Season Finale Handbook with more details about the performances, the Season Finale Participation Package, expectations, and other events involved, such as group photos, tickets and rehearsals. Note- the Season Finale Participation Package is around $130.00 and includes access to all professional photography, videography, show t-shirt, and good luck program message in yearbook. The package fee is typically billed in the months of January or February. We anticipate the fee to be similar to last year’s total. This will be confirmed in the season finale policies that will be sent to families in December, 2023.


COSTUME PAYMENT POLICY

To assist in budgeting costume costs, a costume deposit of $25.00 per class, per month from September-December, 2023 ($100 total per performance class) will be charged in addition to tuition and will be applied directly to your costume account. Method of payment used will be the same as you have entered in the Parent Portal.

Your costume deposit money is refundable through December 17, 2023, should a class, or classes, be dropped via written notice (please see “Drop Policy” section). There are no full refunds for costume deposits after December 17, 2023.

Any costume balances will be charged, or credits issued, at the end of the season by the last pay period in May, 2024. If, for any reason, you request a costume to be added for you after orders have been placed, and the costume company can fulfill your order, an additional $40.00 fee per costume will be charged due to separate processing which will include additional shipping charges.

Please note that the deposit applied to your costume account is to assist with budgeting for costume expenses. This is not the cost of your costume. We do not charge a flat fee for all costumes to simplify our accounting. Final costume costs reflect the price of the costume, administrative and shipping fees, and potential accessories ordered for your convenience. Therefore, your final costume cost may or may not exceed the amount paid into your costume account. We do, however, make it our goal for your costume to cost less than the deposit you paid.

We will begin the costume ordering process in December to ensure timely arrival of costumes for the Season Finale. Costumes are made to order and can take months to arrive. TDC pays for the full cost of your costume upfront when the orders are placed in December. Be advised, once costume orders are placed after December 17, 2023, your costume money becomes non-refundable and you are responsible for full payment of the costume ordered for you regardless of participation in the performances.

Also, be advised that many costumes, once shipped to the studio, need some sort of altering or adjustments which will be the responsibility of the dancer and/or family. In some instances, TDC will coordinate costume alterations and subsequently, bill your account for this service.

Costumes may not be taken home until ALL balances are paid in full. TDC will email and post announcements regarding a costume pick-up date at the studio prior to "picture week.” If a student drops out after costumes are ordered, TDC reserves the right to borrow that student’s costume for another student to "fill in" if it is in the best interest of the class. Your costume will be available for pick-up after show week in June. Please call or email to arrange pick-up. Any costumes not picked up by August 1, 2024, will be donated.


COLLECTION OF UNPAID BALANCES

In the event TDC is required to take legal action to collect any unpaid balance from client, client acknowledges and agrees that, in addition to all damages related to the unpaid balance, TDC shall also be entitled to recovery and reimbursement of all its costs and expenses incurred in connection with such legal action, including reasonable attorney's fees, from client.


MISSED CLASSES AND STUDIO CLOSURES

Email reminders will be sent regarding planned holidays or closings due to weather or unexpected circumstances. The studio will close for weather when Rocky River Schools are closed. Classes missed because of inclement weather and short holidays will not be a reason to receive tuition reimbursement. However, students can attend a makeup class.

Make-up classes must be scheduled through our office prior to the day you plan to attend. This is to ensure adequate space in the class. Make-up classes must be made within 4 weeks of the missed class, must be used during a paid month and must be scheduled in a class of appropriate level approved by TDC teachers and the director. Make-up classes may not be scheduled if the student's account is delinquent.

Number of Classes Available for Holiday Makeups in 23-24 season (by class day):

Mondays- 6 holiday makeups available

Tuesdays- 5 holiday makeups available

Wednesdays- 5 holiday makeups available

Thursdays- 5 holiday makeups available

Saturdays- 5 holiday makeups available


ABSENCES

Excessive absences are not conducive to the best learning environment for the student. Absences do not qualify for tuition refunds. Students or parents are expected to contact TDC by 3:30 pm via email (info@thedancecentrecle.com) to inform your instructor(s) of the reason for your absence. Students will be responsible for catching up on any material missed due to an absence. We appreciate when students take the initiative to catch up on missed material with a classmate, but keep in mind that consistent attendance is a must for significant progress to take place. Information relayed and student/teacher interaction that take place during class can never be fully replaced by a private lesson or by catching up with a friend.

TDC reserves the right to dismiss a student from class due to multiple absences and/or tardiness. If performing in the Season Finale, dancers may not miss more than 4 of each of their classes in the 2nd semester.


TARDINESS

Students more than 10 minutes late to class must have teacher's permission to participate and may be instructed to begin in a separate warmup exercise than that which the rest of the class is participating in. Students denied class participation due to tardiness will not receive a make-up class. Consistent tardiness may result in permanent dismissal from the class.


INJURIES

The instructor must be made aware in-writing of any personal injury or issues before class so she/he can be fully aware of the student's condition or situation. Please see the “Hold Harmless Agreement” section for more information.


TDC reserves the right to request a doctor's note for permission to return to classes after an injury.


Should a dancer be injured for a short amount of time, no credit on tuition will be issued and the student will be expected to observe classes and take notes. If an injury requires long term rest and withdrawal from classes, and the student will not be performing in the Season Finale, TDC, at the studio directors’ discretion, may issue a credit upon receiving a doctor's note explaining the severity of the injury and need for time off.


DRESS CODE

Proper attire and appearance is fundamental for dance training and safety purposes. Students are required to be dressed in the correct uniform and appropriate hair style for each class. Students not adhering to the dress code will be issued a warning, after which they will be asked to sit out during class (this does not constitute an absence).

Please do not purchase shoes with growing room!


Cell phones and watches, including Apple watches are not permitted in the classroom.


Hip Hop shoes must be CLEAN, DRY & CARRIED IN FOR HIP HOP CLASS, not worn outside immediately prior to class. Dancers walking into the building wearing sneakers will be asked to remove them for class. Please help us keep our floor clean and without tears from small rocks and debris that are carried in with shoes.


Do not wear dance shoes outside. A tip for young dancers with ballet shoes - getting ready for class is easier if they walk in with ballet slippers already on and with croc style shoes over the slippers when walking outdoors.


PARKING and DROP-OFF

1249 Smith Court Location (Studios T, D and C)

While our lobby is open, students and parents may enter through both the upstairs and back doors. All vehicles must be parked in a parking spot. Please do not wait at the front door, blocking traffic entering or exiting the driveway. If you are blocking the flow of traffic at the semi-circular drive in front of the building, please leave the parking lot and re-enter as a courtesy to those trying to leave the parking lot, and to help keep traffic moving.

All persons entering through the lower area (not just students) will be required to remove outdoor shoes and place them in the cubbies at the entrance to keep the lobby and dance floors clean.

Additional parking is available towards the southwest end of Smith Court at: Stoneridge Building, 20006 Detroit Rd. This additional parking convenience is available to TDC clients on weekdays from 5:00-10:00 pm. Do not park in front of the building directly across the street from TDC as they only have a few spots for their clients and will tow unauthorized vehicles.

Students should be picked up promptly after class unless special arrangements are made with the Director ahead of time.

Please do not allow your younger children to walk out in the parking lot alone. It is difficult to see them from a driver’s point of view. Please take the time to park your vehicle and meet your child at the studio door.

We request all students, regardless of age, wait inside the building until their parent or guardian has arrived.

Students who have class in studio T should wait in the lower lobby if there is no teacher upstairs when you arrive. We do not want students left unsupervised in the upstairs foyer.

TDC is not responsible for unsupervised children who are at the studio outside of their scheduled class time.


TDC CONDUCT

At TDC, we take pride in maintaining a professional yet friendly environment. We expect our students and families to be respectful towards one another, the teachers and TDC. TDC directors and staff work hard to create a positive, safe, and supportive environment. Behavior in and around the studio that does not contribute to a positive, safe, and supportive environment for staff and students will not be tolerated. Any questions or concerns should be brought directly to the instructors and/or director.


DISRUPTIVE BEHAVIOR POLICY

We will make every effort to work with our students to encourage personal responsibility and accountability for their actions. We understand the importance of the learning process, and we expect studio rules to be followed. In the event a behavior is disrupting a class, it may result in the following: (a) 3 verbal warnings to the dancer, (b) reflective opportunity to consider correcting the disruptive behavior, (c) consultation with the student and/or parents (depending on the situation), and (d) dismissal from class.

Dismissal Policy: In the event of a student dismissal, the studio reserves the right to cancel enrollment for the following reasons: (a) non-payment or excessive late payment of fees, (b) lack of observance of rules or policies, (c) student has needs we cannot adequately meet with our current program, (d) physical and/or verbal abuse of staff or children, by parent or child.

OTHER POLICIES

* No students may enter the studio/dance space without the instructor present or without the instructor's permission.

* If a dancer has to leave class early, the instructor must be made aware of this BEFORE class.

* No food, gum or open liquid containers in the studios.

* No lotion, powder, talc, rosin or water on the floors. Do not apply lotion before attending class. Lotion creates dangerous, slick spots on the marley floor and cannot easily be removed.

* Report all damp and wet floors immediately to the teacher. Avoid this area and do not dance on any damp or wet area.

* Note taking and recording is prohibited unless the note taker has the permission from the teacher and is paying for the class.


LOST AND FOUND

TDC will not be held responsible for any lost or stolen items.


We recommend you put your child's name on all clothing, dance shoes and dance attire and leave all valuables at home.


Unclaimed items left at the studio will be held for up to 2 weeks, after which they will be donated to charity or disposed of.


IMAGE RELEASE

I hereby irrevocably consent to TDC's use of my child's name and likeness, including her/his performance, voice and image in any form, whether via still photography, audio and/or video recording, or otherwise ("Media"), that are taken and/or recorded during class time, performances, etc. I authorize TDC to use all such Media on their website, in printed material, and/or all other internet and social media without further consideration.


I agree that TDC shall own all right, title and interest to such Media (including all content and all rights embodied therein) and that it may use, edit, modify, and distribute the Media, without limitation, and without compensation, further permission or notification to me. I hereby waive any inspection or approval of use. I also waive and release TDC, and all its owners, employees, agents, and representatives, from any claims based upon invasion of privacy, right of publicity, defamation, false endorsement, or claim of visual or audio alteration or faulty mechanical reproduction.


RECORDING

TDC respects the privacy of our customers. STILL PHOTOGRAPHY AND VIDEO AND AUDIO RECORDERS ARE RESTRICTED AT ALL TIMES INSIDE THE STUDIO unless approved in writing by the studio director.


ELECTRONIC SIGNATURE

Your electronic signature is required to confirm your child's registration. It indicates you have read and accepted our Studio Policies as listed above. I understand that submission of this online registration includes my electronic signature and that my electronic signature requires my understanding and acceptance of The Dance Centre by Kayleigh LLC ("TDC") studio policies and conditions. Parents of Club TDC Dancers acknowledge that there are additional policies and an agreement to be signed for participation in this performance group.


HOLD HARMLESS AGREEMENT

I fully acknowledge and understand that dance class participation frequently includes exercise, bodily contact and other associated dangers, which may result in property damage or personal injury to my child. I hereby assume such risks and further covenant not to sue TDC, or any of its owners, employees, agents and/or representatives, for any and all loss or damage, including property damage, personal injury, and disability, arising out of or in any way related to my child's enrollment at TDC. I hereby agree to fully assume the risk and full responsibility of all such injury, loss, damage, and disability due to the negligence of others, including those being released herein, and on behalf of myself, my spouse, my child, and my next of kin. I acknowledge that I have read this liability waiver and that I am waiving any claim as set forth herein for myself, my child, my spouse, and my next of kin, and that I forever release, discharge, and will hold TDC, including its owners, employees, agents, and representatives, harmless from any such claims or actions. I understand that TDC and its agents urge all students to obtain a physical examination from their physician prior to attending any class.


EMERGENCY MEDICAL RELEASE

In the event my child requires medical care for any reason, I hereby authorize and give my consent to TDC, and its owners, employees, agents, and/or representatives, to seek such care on behalf of my child and/or transfer my child to any hospital or medical facility at my sole cost and expense. If possible, TDC will make reasonable attempts to contact me at the phone number(s) listed in my online Parent Portal prior to seeking such care and treatment for my child. I further agree that it is my sole and absolute responsibility to pay for the cost of any such care and treatment and that I will indemnify and hold TDC, including its owners, employees, agents, and/or representatives, harmless from all such costs.


ONLINE CLASSES and VIDEO DISCLAIMER

I acknowledge & agree that all terms & conditions of TDC Policies also apply to any injury or damage that results from engaging in TDC-sponsored dance class participation away from TDC studio (e.g., via online, YouTube, videoconference, or otherwise).


FORCE DE MAJEURE

In the event the studio must close due to force de majeure, we will transfer our programming to online learning. If your family would like to opt out of online learning, a 30-day written withdrawal notice will be required. Tuition billing will stop at the end of the withdrawal period, and you will be responsible for tuition during that time. If the studio is forced to close and cannot operate via online learning, we will freeze accounts until further notice.


SAFETY AND COVID-19 DISCLAIMER:

Students and teachers may wear masks if they prefer, however it is no longer required. Should CDC or government requirements or recommendations change, TDC reserves the right to require or recommend masks be worn, or social distancing be practiced, during classes and in the studio.

Students who are experiencing any symptoms (i.e.- cough, headache, fever, sore throat, etc.) should stay home until healthy, and we request any student recovering from a cold or cough to wear a mask.

Note that any public location where people are present provides an inherent risk of exposure to COVID-19 and we cannot guarantee that you will not be exposed during your visit.
