Communication & Parent Portal

1. Parent Portal Access: Record your login and password information for accessing your TDC Parent Portal account. This resource is essential for checking your child's schedule, account balances, class attendance, and registering for classes.

2. Contact Information: Maintain accurate contact information, including your email address, at all times. Update any changes in your Parent Portal Account.

3. Student Information: For returning students, update their grade in school as it does not automatically update in Jackrabbit. Ensure your payment information is current and accurately entered into the Portal. 4. Primary Communication: Email is our primary form of communication. If you are not receiving studio emails, please inform us immediately. Stay updated on studio news and happenings via our social media accounts on Instagram and Facebook.

5. Policy Updates: TDC reserves the right to make necessary changes and updates to our policies. The Parent Portal will automatically notify you of any changes to our policies.

Using the Parent Portal and keeping your information up-to-date helps us ensure smooth communication and management of your child's dance activities.

Registration and Tuition Policy Registration Fees:

● 2024-2025 Season: A registration fee of $40.00 for one (1) dancer or $60.00 per family (2+ dancers) will be charged upon registration.

● Multi-Week or Summer Session Camps and Classes: A registration fee of $25.00 will be charged. (If 2+ dancers in a family register for the same multi-week or summer session, the registration fee is $40.00)

● Registration fees are non-refundable, non-transferable, and processed once enrollment has been reviewed and confirmed.

September Tuition Processing:

● While registration fees are processed for payment immediately upon enrollment, September costume deposits and prorated September tuition fees will be processed for payment on Tuesday, September 3.

Commitment:

● By registering for a class, a spot is secured for you/your dancer from September through June. TDC commits to booking the instructor for the season based on your registration.

● Registration is a commitment. If you cancel enrollment after registering but before the September 3 billing date, September tuition will still be due as we have held a spot for your dancer. Please be sure of your classes before registering.

● Students registering for classes on or after September 3 will be charged their registration fee, September tuition, and costume deposits at once upon enrollment.

● In consideration of young students or those trying a dance style for the first time, we allow a withdrawal period during the first semester. Please see the “Drop Policy” section for more details.

TUITION PROGRAMS TECHNIQUE CLASS DISCOUNT PROGRAM:
We encourage technique classes which are the foundation of a dancer’s skill set. There are no shortcuts to development of muscle memory and proper body placement for strong and safe dancing, including injury prevention. For this reason, TDC offers a sliding scale of discounts on technique classes per student. Technique classes that are included in this discount program are: Acro, Ballet (including pre-pointe/pointe), JLT, and Poms.

Classes with the lowest tuition fees are discounted first.
● 1st technique class, regular price

● 2nd technique class, 10% off

● 3rd technique class, 20% off

● 4th technique class, 30% off

● 5th technique class, 40% off

● 6th technique class, 50% off

MULTIPLE STUDENT/FAMILY DISCOUNT:

For families with three students enrolled, a 25% discount will be applied to the student in the family with the lowest total class tuition. For a family with four students, the 25% discount will be applied to the two students in the family with the lowest total class tuition.

WORK STUDY PROGRAM

Tuition Cap:
● TDC offers a monthly tuition cap of $550 for students who are class assistants or junior class assistants. ● Once a dancer’s account reaches $550 in total tuition for the month, additional tuition costs are waived, regardless of the number of classes taken.
● Non-tuition costs (e.g., costume deposits, private lessons, workshops, intensives) are not included in the tuition cap.
● This program is beneficial for dancers taking 8, 45-minute classes weekly or 6, one-hour classes weekly. ● The Work Study program cannot be combined with the Technique Class discount program.

Class & Junior Class Assistants:
● Eligibility: Students aged 11+ can become class assistants. Students aged 10 and below can become junior class assistants if deemed appropriate by TDC.
● Responsibilities: Assist in one weekly dance class throughout the season.
● Consistency: To maintain eligibility for the scholarship, students must consistently assist their assigned class. Excessive absences or tardiness will result in loss of the scholarship.

Absences and Substitutes:
● Scheduled Absences: A few scheduled absences are acceptable with advance notice (48 hours preferred).

● Substitute Responsibility: Class assistants must make a reasonable effort to find a substitute when unable to assist their assigned class.
● Makeup Hours: Assistants are responsible for making up missed hours by assisting another class. It is the student’s responsibility to coordinate and plan their makeup hours.

By participating in the Work Study Scholarship Program, students can benefit from reduced tuition costs while gaining valuable experience assisting in classes.

COLLECTION OF UNPAID BALANCES POLICY

In the event TDC is required to take legal action to collect any unpaid balance from a client, the client acknowledges and agrees that, in addition to all damages related to the unpaid balance, TDC shall also be entitled to recovery and reimbursement of all its costs and expenses incurred in connection with such legal action, including reasonable attorney's fees, from client.

Class Enrollment Policy

1. Class Placements: All class placements are determined by TDC's Director and Faculty with the student's best interest in mind.

2. Class Changes and Cancellations: TDC reserves the right to cancel, change, or reschedule a class based on attendance and/or registration. Instructors are subject to change.

3. Waitlist: Dance classes that have reached maximum enrollment will display a WAITLIST link. Please click the link to be added to our waitlist.

4. Initial Class Adjustment Period: During the first six weeks of classes, instructors may suggest a change of class (either to a higher or lower level) based on the dancer's ability, experience, motivation, and focus. If a change is deemed necessary, we will contact you personally to discuss class options.

5. Prerequisite / Supplemental Class Requirements:: Please review the brief descriptions of each class for any listed prerequisites when enrolling. For example, certain classes require enrollment in either a JLT and/or ballet class.

This policy ensures that each student is placed in the most appropriate class for their development and that our class schedules remain responsive to the needs of our students and instructors.

REGISTRATION LIMITS
In the event a class is wait-listed due to high enrollment, dancers in Club TDC who need to meet specific class requirements will receive priority for class placement.

First Semester Drop Policy:

● Drop Period: Students can drop classes from October 1, 2024, through December 15, 2024. See “Notice Requirement” below for more information.

● Non-Attendance: If a student stops attending classes without providing written notice, future tuition payments will be due until notice is provided.

Registration Commitment:

If you cancel enrollment after registering but before the September 3 billing date, September tuition will still be due as we have reserved a spot for your dancer.

Assumption of Participation:

● Costume and Season Finale Participation Package: If no written notice is given to TDC by December 15, 2024, TDC will assume the student is participating in all performance classes for which they are enrolled. Please see the “Season Finale Dance Performance” and “Costume Payment Policy” sections for more information.

Please ensure you are certain of your class choices before registering and be mindful of the deadlines for providing written notice to avoid unwanted charges.

● Final costume costs reflect the price of the costume, accessories (if applicable), administrative time, and shipping and handling fees.

● Final costume costs may or may not exceed the amount of costume deposits paid from September through December 2024. We work hard to ensure costume costs are no greater than $100 each.

Costume Ordering Process:

● We will begin ordering costumes in December to ensure timely arrival for “Picture Days” in May.

● Costumes are often made to order and can take months to arrive.

● TDC pays for the full cost of your costume upfront when orders are placed in December. After December 15, 2024, your costume money becomes non-refundable, and you are responsible for full payment of the costume ordered regardless of your dancer’s participation in the Season Finale.

Alterations and Adjustments:

● Costumes may require alterations or adjustments, which are the responsibility of the dancer and/or family. In some instances, TDC will coordinate costume alterations/adjustments and bill your account for this service.

Costume Pick-Up:

● Costumes may not be taken home until all account balances are paid in full.

● TDC will email and post announcements for the costume pick-up date at the studio before "Picture Days.”

● If a student drops out after costumes are ordered, TDC reserves the right to borrow that student’s costume for another student to "fill in" if it is in the best interest of the class. ● Your costume will be available for pick-up after the Season Finale. Please text 440-517-5558 or email billing@thedancecentrecle.com to arrange pick-up. Costumes not picked up by August 1, 2025, will be donated.

MISSED CLASSES, STUDIO CLOSURES & MAKEUP CLASS POLICIES

Notification of Closures We will send email and text reminders regarding planned holidays or unexpected studio closures due to weather or other circumstances. The studio will close for weather when Rocky River Schools are closed. Tuition will not be reimbursed for classes missed due to inclement weather or short holidays. However, students are eligible to attend a makeup class.

Explanation for Tuition Charges During Holidays and Breaks

At TDC, we strive to provide a comprehensive dance education experience for all our students. Part of this commitment includes maintaining a consistent and sustainable tuition structure, even during holidays and breaks. Here’s why we continue to charge tuition during these periods and offer makeup classes for missed sessions due to holidays or breaks:

1. Annual Operational Costs: Our tuition rates are calculated on an annual basis to cover our program duration of 9.5 months. This includes expenses for maintaining our facility, paying our professional staff, and providing quality resources for our students.

2. Structured Learning Plan: Dance education is built on a curriculum that spans the entire 9.5 month duration. While there are breaks, the overall program is designed to deliver a cohesive learning experience. The tuition reflects the comprehensive nature of our program, not just the number of individual classes.

3. Makeup Classes for Flexibility: To accommodate any inconvenience caused by holidays or breaks, we offer makeup classes. The makeup policy for missed holidays and breaks ensures that students can continue to benefit from their tuition investment.

In essence, the consistent tuition structure supports the stability and quality of The Dance Centre, ensuring we can provide the best possible dance education year-round. The makeup classes are a way to honor the commitment of our students and families, offering flexibility while maintaining the integrity of our educational program.

Scheduling Makeup Classes

1. Advance Scheduling: Makeup classes must be scheduled through our office at least one day prior to the intended makeup class. This ensures the instructor is informed and there is adequate space in the class. Please email info@thedancecentrecle.com to schedule your makeup class.

2. Timeframe: Makeup classes must be attended within four weeks of the missed class and must be during a paid month. Makeup classes cannot be attended prior to the actual missed class, only after the class has been missed.

3. Class Level: Makeup classes should be in the student’s current level or one level below, and in a similar style as the missed class. Office approval is required for eligible classes.

We do encourage students with injuries to attend class as an observer, when possible. However, if it is not possible due to the extent of an injury, makeups may be scheduled.

Eligibility and Restrictions

1. Class Suitability: Some classes may not be suitable for makeup due to the time of year or subject matter. For example, makeup classes in Acro require requisite skills for safety, and makeup classes may not be suitable in late spring as some classes will be focusing heavily on recital choreography.

2. Technique Classes: Certain classes focused solely on technique, such as pre-pointe/pointe 1, JLT classes, and most Acro classes are available for makeup through the end of the season pending student’s requisite skills to safely take class.

3. Delinquent Accounts: Makeup classes cannot be scheduled if the student's account is delinquent.

Makeup Policy Purpose

Our makeup policy is designed to enable students to attend another class as a makeup for missed classes due to illness, injury, family emergencies, or studio closures. It also accommodates occasional discretionary activities, such as school concerts or family travel.

However, the policy is not intended for students who miss classes due to extended or regularly scheduled discretionary activities that conflict with their weekly dance classes. We ask that families please refrain from requesting makeup classes in this situation. Our objective is to provide makeup classes to support students in maintaining their commitment to their dance education, while providing flexibility for occasional unavoidable absences.

Club TDC Dancers Absences

Club TDC dancers with required training classes and scheduling conflicts are encouraged to schedule makeups to maintain their training hours. However, it is important that Club TDC dancers limit scheduling other activities that conflict with their required classes and rehearsals to ensure they can fulfill their commitment to their Club TDC group. If your Club TDC dancer has an activity that will result in them missing their required classes or rehearsals, please contact us prior to the start of the season to ensure your dancer will be eligible to participate in their Club TDC group.

Late Season Makeups: April - June 2025

During the spring recital period, makeup class options are limited due to performance classes focusing heavily on Season Finale choreography. For this reason, we offer the opportunity to schedule makeup classes during our summer session for classes missed on the following days/holidays:

● Spring Break: April 19 – April 26, 2025

● Memorial Day: May 26, 2025

Please note that if a technique class is available for the student to makeup during our current season and before summer, that option will take precedence over a summer makeup class.

For students missing classes due to illness, injury, or discretionary activities from April through June, makeup classes may be scheduled through the end of our season on June 7 by following the steps listed above. The extension of makeup classes into the summer semester is specifically for the planned studio closures in late spring.

Number of Classes Available for Holiday Makeups for the 24 - 25 season (by class day):

● Mondays - 7 makeups available

● Tuesdays - 4 makeups available

● Wednesdays - 5 makeups available

● Thursdays - 6 makeups available

● Saturdays - 5 makeups available

EXCESSIVE ABSENCES POLICY

Excessive absences are detrimental to both the student and the class learning environment. Here are the key points regarding absences:

1. No Tuition Refunds: Absences do not qualify for tuition refunds.

2. Notification: Students or parents must contact TDC by 3:30 pm via email (info@thedancecentrecle.com) to inform us of the reason for the absence.

3. Responsibility: Students are responsible for catching up on any choreography or notes missed due to an absence. We appreciate students taking the initiative to catch up with a classmate, but please note that consistent attendance is crucial for significant progress. The information relayed and student-teacher interactions during class cannot be replicated by other means.

4. Dismissal: TDC reserves the right to dismiss a student from class due to multiple absences and/or tardiness.

5. Season Finale Performance: If performing in the Season Finale, dancers may not miss more than four (4) of each of their classes in the 2nd semester (December 16, 2024, through June 7, 2025).

Consistent attendance is essential for the best learning experience and progress.

TARDINESS POLICY

1. Late Arrival: Students arriving more than 10 minutes late to class must have the teacher's permission to participate and may be instructed to begin with a separate warmup exercise.

2. Eligibility for Makeup Classes and Refunds: Students denied class participation due to tardiness will not be eligible for a makeup class or tuition refunds.

3. Consistent Tardiness: Consistent tardiness may result in permanent dismissal from the class.

4. Disruption: Please note that tardiness is a distraction for the rest of the class and can disrupt the learning environment.

INJURIES / MEDICAL ISSUES POLICY

1. Notification of Injuries: The instructor must be informed in writing of any personal injuries or issues before class to ensure they are fully aware of the student's condition or situation. Please refer to the “Hold Harmless Agreement” section for more information.

2. Doctor's Note: TDC reserves the right to request a doctor's note granting permission for a student to return to classes after an injury.

3. Short-Term Injuries / Medical Issues: If a dancer is injured or has a medical issue for a short period, no account credit or tuition reimbursement will be issued. The student will be expected to observe classes and take notes during this time.

4. Long-Term Injuries / Medical Issues: If an injury or a medical issue requires long-term rest and/or withdrawal from classes and the student will not be performing in the Season Finale, TDC may issue a credit at the studio directors’ discretion. This will be upon receiving a doctor's note explaining the severity of the injury and the need for time off.

CLASSROOM CONDUCT & OTHER POLICIES

At TDC, we take pride in maintaining a professional yet friendly and nurturing environment. We expect our students and families to be respectful towards one another, the teachers and the studio. TDC directors and staff work hard to create a positive, safe, and supportive environment. Behavior in and around the studio that does not contribute to a positive, safe, and supportive environment for staff and students will not be tolerated. The following policies ensure a positive and productive environment for all our students and staff. Any questions or concerns should be brought directly to the instructors and/or director.

Disruptive Behavior Policy
At TDC, we are committed to fostering personal responsibility and accountability among our students. We
understand the importance of the learning process and expect studio rules to be followed. If a student's behavior
disrupts a class, the following steps may be taken:
● Verbal Warnings: The dancer will receive up to three (3) verbal warnings.
● Reflective Opportunity: The dancer will be given an opportunity to reflect on and correct the disruptive behavior.
● Consultation: There will be a consultation with the student and/or parents, depending on the situation. ● Dismissal from Class: If the disruptive behavior continues, the student may be dismissed from the class.

Dismissal Policy
The studio reserves the right to cancel a student’s enrollment for the following reasons:
1. Non-Payment or Late Payment: Non-payment or excessive late payment of fees.
2. Non-Observance of Rules: Failure to observe studio rules or policies.
3. Inadequate Program Fit: If the student's needs cannot be adequately met with our current program. 4. Abusive Behavior: Physical and/or verbal abuse of staff or children, by either the parent or child.

OTHER POLICIES

1. Studio Entry: No students may enter the studio/dance space without the instructor present or without the instructor's permission.

2. Early Departure: If a dancer needs to leave class early, the instructor must be informed before class begins.

3. Food and Drink: No food, gum, or open liquid containers are allowed in the studios.

4. Floor Safety: No lotion, powder, talc, rosin, or water on the floors. Do not apply lotion before attending class, as it creates dangerous, slick spots on the marley floor that cannot easily be removed. Report any damp or wet floors immediately to a teacher. Avoid these areas and do not dance in any damp or wet spots.

5. Recording and Note-Taking: Note-taking and video or audio recording are prohibited unless expressly permitted by the teacher.

LOST & FOUND

All items found in and around the studio will be placed in the TDC locker room cubbies. TDC will not be held responsible for any lost or stolen items. Recommendations:

● Label all water bottles, clothing, dance bags, dance shoes, and dance attire with your child's name.

● Leave all valuables at home.

● Unclaimed and unidentifiable items left at the studio will be held for up to two weeks. After this period, they will be donated to charity or disposed of.

ATTIRE AND DRESS CODE POLICY

Proper attire and appearance are fundamental for dance training and safety. Students must wear the specified attire, footwear, and hairstyle for each class. Failure to adhere to the dress code will result in a warning, followed by being asked to sit out during class (this does not count as an absence). Please note, Jewelry, cell phones, and watches are not permitted in class.

Dress Code Information

A link to TDC's 2024 - 2025 Dress Code can be found on the Parent Portal “Announcements” page prior to the start of the season.

Dance Shoes

● Do not purchase shoes with room to grow. Properly fitting dance shoes are essential for safety and comfort.

● Shoe Exchange: TDC has an assortment of donated dance shoes available for borrowing free of charge. Contact us to make an appointment to try on donated shoes by texting 440-517-5558 or emailing info@thedancecentrecle.com

● Hip hop shoes must be CLEAN, DRY, and CARRIED IN FOR CLASS, not worn outside immediately prior. Dancers entering the building wearing sneakers will be asked to remove them for class. Help us keep our floors clean and avoid damage from small rocks, dirt, and debris.

● Do not wear dance shoes outside. For young dancers with ballet shoes, consider having them enter and exit the studio with their ballet slippers on, wearing Crocs-style shoes over them for convenience. PARKING, PICK-UP, AND DROP-OFF POLICY

1249 Smith Court Location (Studios T, D, and C)

Entering and Exiting the Building

● Our lobby is open, and students and parents may enter through both the upstairs and lower-level doors.

● All vehicles must be parked in a designated parking spot. Do not wait in your vehicle by the front doors, blocking the studio entrances or the driveway. Avoid blocking the flow of traffic in the semi-circular drive in front of the building on the upper level. Instead, leave the parking lot and re-enter to keep traffic moving.

Overflow Parking

● Additional parking is available towards the southwest end of Smith Court at the Stoneridge Building, 20006 Detroit Rd. This parking is available to TDC clients on weekdays from 5:00 pm - 10:00 pm.

● Do not park in front of the building directly across the street from TDC as they have limited spots for their clients and will tow unauthorized vehicles.

Supervision and Safety

● Please wait with your child in the lobby until the teacher is ready to invite students into the classroom. Children cannot be left unsupervised in our lobby before class.

● Students should be picked up promptly after class unless special arrangements are made with the Director ahead of time.

● Do not allow younger children to walk in the parking lot alone. It is difficult to see them from a driver’s point of view. Please take the time to park your vehicle and meet your child at the studio door.

● All students, regardless of age, should wait inside the building until their parent or guardian arrives.

● Students who have class in Studio T should wait in the lower lobby if they arrive early and there is no teacher upstairs yet. We do not want students left unsupervised in the upstairs foyer.

● TDC is not responsible for unsupervised children who are at the studio outside of their scheduled class time.

Footwear and Cleanliness

● All persons entering through the lower level (not just students) must remove outdoor shoes and place them in the cubbies at the entrance to keep the lobby and dance floors safe and clean for our dancers.
